I suppose the first question is how many camping plots are available for earlybay camping ? Then we could work out a solution.Good luck with all the organising Mike,it should be another good event :D

Tend to agree with that given the general interest by forum members - also seems illogical to facilitate 'guests' (even with vans), ahead of members who may fall short of a minimum number of posts test - latter could simply ask an eligible member to invite them as 'guests'

I would be up for this, and Mike if you need some help setting this up I would be willing to help.

If EarlyBay is a club and insurance/membership is an issue then could we open it up for discussion. I would be willing to pay a membership etc
 
Club camping info has been received today. The arrangement for clubs is strictly pre booking only, through a single point of contact, paid in advance :shock:

So, here is my plan ....

Im happy to coordinate this. If you want to camp in early baysville then you will need to book via myself. I am in the process of setting up a specific Paypal account for this, and this will be the only way I will be able to accept payment, I need to keep this as simple as possible.
Entrance fee's are £30 per adult, which is inclusive of the camping pitch you occupy.
To cover Paypal fees and ticket postage I will ask for an additional £1 for each adult booking. I will post tickets out to those you book through me.

You dont need a Paypal account to make a Paypal payment, you can do a one off payment from a debit or credit account on the site.

We will also need to join the Association of British VW Clubs - I am awaiting the detail on this, and depending how much this costs it may be best to factor it into the bookings, or arrange an e-whip round seperately?

Booking is now open and closes wef 31 July 08. I suggest that I will finalise the EB booking at around 15 June 08.

Im in no position to dictate or police but I would request that early baysville is VW Transporter only, if possible (tents/awnings etc are acceptable, but no gazebos or party tents).


My 'suggestion' for those with partners/mates etc who will not be bringing a vehicle along is to book for the pitch/van/main 'sponsor' at this stage if there is any doubt about attendance, as this is the key factor that we need to consider at this stage. (For example - Ill just book for me, and sort my wifes ticket out at a later stage myself)

Sound ok?

PS. The restrictions/costs/rules regarding Vanfest 08 are outwith anyones control or influence for this year .... please dont comment or discuss the politics on this thread, Im just trying to deal with what needs dealing with. Many thanks. :)

Good plan Clem, ill get back to you with numbers as soon as you sort out the PP arrangements. Its looking like 3 vans plus. What is the cut off age for kids having to pay?

I dont know what it is but any link with vanfest.org in the title wont open on my computer. So sorry if im asking loads of dumb ass questions but i cant go and look it up myself?
 
I have contacted the ABVWC regarding affiliation, and am currently awaiting a reply. I have the info from Vanfest and we have a plot reserved, as soon as we get to affiliation sorted to cover PLI we will be taking bookings. Cheers, Mike

If this is going to happen I'm up for 2 vans (Dubberdaz and myself).
Also wasn't there something about a risk assessment that had to be carried out, if so and you need a hand I do these most day's with my job if that's any help

Still havent heard back from ABVWC sice they asked if we were an 'internet' club :?
Ive mailed a couple of times now with no reply, maybe hes on his hols or summat ?

I guess thayll have a presence at Stanford Hall so I can ask then. It 'will' all be ok though :)
 
Ok, we are live!

I am now taking bookings for Early Bay Club Camping at Vanfest.

We are in the process of being processed as an affiliate club of the Assoc. of British VW Clubs. This will fulfill our requirement as far as club public liability insurance is concerned, and this will cost (total) £29.00.

To cover this fee, and also the Paypal fees and the ticket postage I estimate (thats all I can do at this time) that I will need to add £2.00 to each adult ticket price, so the cost is £32.00 per adult. I am taking bookings straight away and will close the books at the end of June 08.

Im not able/willing to police attendees but I request that people remember the spirit of the event and therefore book with attendance in a Volkswagen Transporter van as priority.
